Detailed Trip Reports

A detailed trip report describes all the trips made by each vehicle and driver combination over a specified time period. You can further specify the details in the report either by vehicle (using the hierarchy or by fleet) or by driver (using the hierarchy or by team).

At the top of the report is a Totals summary statistics table. This table displays statistical data for all vehicles or drivers over the entire date range of the report.

The remainder of the report is divided into sections - one section for each vehicle or driver. At the top of each section is a summary statistic table, which is displayed with a gray background and includes statistics for the vehicle or driver over the entire date range. Below this table, a summary statistics table and a data table are displayed for each day in the date range. The summary statistic tables might include the following information:
 

Distance: The total distance traveled (in the user’s specified units), for given route. Trip distances are calculated using odometer values reported by the engine. When no odometer value is available, GPS points are used to calculate distance.
Transit Time: The amount of time that the vehicle spent moving between the start time and the end time. This is calculated by subtracting idle time from engine on time, but should also equal arrival time minus departure time for any given trip (where applicable).
Trip Time: The duration of the trip. This is calculated by subtracting start time from end time.
Time At Location: The amount of time spent at the end location, before starting another trip. This is the time from when the vehicle stopped moving until it started moving on the next trip. Note that Time at Location is not shown for the last trip of the day.
Idle Time: Total time a vehicle is not moving and the engine is on, as long as the vehicle has satisfied the stop minute length requirement (defaults to 5 minutes).
Idle Fuel Used: The amount of fuel used when idling. This value is based on the default vehicle gallon usage specified in the Reports section of the Settings dialog box.
Exceptions: A list (separated by commas) of any exceptions that occurred during this trip.
Stops At Categories: The number of stops the vehicle made, grouped by the category of the marker where the vehicle stopped. If the vehicle made a stop that was not at a marker, the category is given as “Unknown”.

The data tables for each date are divided into rows, with each row describing a trip. A trip is the time spent from the point when the vehicle departs its last location until it departs the next location. An exception to this is when a stopped vehicle is turned on then off again without moving: this is counted as a trip from the point when the vehicle’s ignition is turned on.

Report Settings

You can set the following options for a detailed trip report:
 

Time Frame Options: Select the dates that the report will cover. You can select a predefined time frame from the Time Frame drop-down menu. If you select the "Specific Dates" option the From and To fields open. Select a date in each field, using the calendar controls.
Fleet (for vehicle reports) or Team (for driver reports): Select the fleets or vehicles (for vehicle reports), teams or drivers (for driver reports), or sections of the hierarchy that you want to include in the report.
Show empty nodes: Select the Show empty nodes check box to view hierarchy nodes in the tree view that do not contain any drivers or vehicles.
Search field: Enter a search term in the Search field to find a vehicle or driver with that term in their name. Click the Previous and Next buttons to navigate through the search results.
Include Tag Filter: Click in the field and select a tag from the list. This filters the tree view so that only vehicles or drivers with the specified tag are shown.
Exclude Tag Filter: Click in the field and select a tag from the list. This filters the tree view so that vehicles or drivers with the specified tag are excluded.

Report Columns

The columns of a detailed trip report are as follows:
 

1.Driver Name (for reports by vehicle): The driver identifier.
2.Vehicle (for reports by driver): The vehicle identifier.
3.Start Time: The time the trip started. Every trip has a start time. Typically, this is the earliest non-NULL value among the following values: Ignition On Time, Departure Time, Midnight (for the second half of midnight-split trips).
4.End Time: The time the trip ended. Every trip has an end time. Typically, this is the latest non-NULL value among the following values: Ignition On Time, Departure Time, Midnight (for the first half of midnight-split trips).
5.Transit Time: The amount of time that the vehicle spent moving between the trip's start time and the end time. This is calculated by subtracting idle time from engine on time, but should also equal arrival time minus departure time for any given trip (where applicable).
6.Time at Location: The time spent at the end location, before starting another trip. This is the time from when the vehicle stopped moving until it started moving on the next trip. Note that Time at Location is not shown for the last trip of the day.
7.Trip Time: The duration of the trip. This is calculated by subtracting start time from end time.
8.Idle Time: Total time a vehicle is not moving and the engine is on, as long as the vehicle has satisfied the stop minute length requirement (defaults to 5 minutes).
9.Idle Fuel Used: The amount of fuel used when idling. This value is based on the default vehicle gallon usage specified in the Reports section of the Settings dialog box.
10.Distance: The total distance traveled (in the user’s specified units), for given route. Trip distances are calculated using odometer values reported by the engine. When no odometer value is available, GPS points are used to calculate distance.
11.Exceptions: A list (separated by commas) of any exceptions that occurred during this trip. Exceptions include:
 
Speeding: Exceeding 75 MPH. Speeding exceptions are indicated by "S".
Excessive idling: Idling for a period longer than 15 minutes. This reflects a single idle period, not the cumulative time spent idling over the whole trip. Excessive idling is indicated by "i".
Prohibited category: Ending at a prohibited location (the "End Location" point). This exception is indicated by a "P", and occurs when the final destination of the trip is at a marker that belongs to the default category of "prohibited".
 
12.End Location: The location of the vehicle at the end of the trip, including marker name (if the end location is at a marker) and address. If this location is a marker, the color displayed at the left of the End Location column indicates the marker category.
13.Primary Category: The primary category of the end location if it is a marker.
